Meeting Your Tutors
Telephone introductions: Before your first tutoring session, we recommend that parents have a phone conversation with their tutors. This is a chance for parents to get acquainted with their tutors and inquire about their approach to supporting your child. Tutors will also take this opportunity to understand the specific academic assistance your child requires. There is no charge for the time spent on these introductory calls.
Packages
Math Minds provides a variety of payment options for our clients. For detailed information, please reach out to us.
All packages are final and cannot be refunded.
The hours included in your package are valid for one year.
You can transfer your hours to a friend or another student.
Your hours can also be applied to different subjects or standardized tests. If there's a price difference, we'll adjust the hours accordingly.
Satisfaction Guaranteed
Math Minds does not guarantee specific outcomes from tutoring sessions. However, if you are dissatisfied with any session, whether it's your first or twentieth, please inform us and your next session will be complimentary (up to one hour). We will assist you in finding a suitable replacement tutor. If we cannot resolve the issue, we will gladly issue a refund for any unused hours.
Refunds
To request a refund, please do so within 30 days of the session that didn't meet your expectations.
Refunds may incur a 3% processing fee, which is charged by our bank and not an extra cost from Math Minds. However, refunds for unsatisfactory sessions will not have any processing fees.
Invoicing & Payments
All payments need to be processed online.
Please do not pay tutors directly. All payments should be made through Math Minds.
We need to have credit card information on file to charge for any additional sessions beyond your initial package.
Minimum Session Length
Generally, tutoring sessions are billed for a minimum of one hour, while test prep sessions usually require at least 1.5 hours.
Shorter sessions may be permitted occasionally, but please get your tutor's approval first. Otherwise, you will be charged for the full hour.
Cancellations & Lateness
Please provide at least 24 hours' notice for canceling scheduled tutoring sessions. Math Minds reserves the right to charge clients the full amount for sessions canceled within 24 hours.
Math Minds reserves the right to charge clients for waiting time if a student arrives late or does not show up for a scheduled session.
Activities Included with Tutoring Sessions
Time needed to prepare for tutoring lesson content.
Tutoring time and the time needed to compile a recap of the tutoring session.
A reasonable amount of quick emails and/or phone calls (less than 5 minutes) between parents, students, and tutors is allowed. Math Minds reserves the right to bill for communication time for parents who wish for frequent and lengthy contact with tutors outside of regular tutoring hours.
Additional Billable Activities
Essay editing and feedback provided outside of tutoring sessions.
Email communication with teachers and guidance counselors.
Special projects requested by clients, such as curriculum development.
Telephone communications with students outside of tutoring sessions (minimum time of 15 minutes).
Frequent and lengthy communications with parents outside of regular tutoring hours.
Materials
Math Minds works with your child's current textbooks and materials. For test prep, we have proprietary in-house materials that we will provide, and we will also recommend additional materials for purchase. If clients would like a tutor to use specific teaching materials, they may provide these materials to the tutor. For enrichment tutoring purposes, the tutor may recommend additional resources or provide their own material.
